A unique opportunity has arisen for a highly organised and proactive Estate Coordinator to join a well-established private estate. This is a varied and interesting role supporting the operational running of multiple properties, working alongside a close-knit and professional team.
Ideal for someone who thrives in a structured, hands-on environment, the role combines administration, scheduling, reporting, and coordination duties—suited to candidates who are highly dependable, detail-focused, and confident liaising with internal teams and senior stakeholders.
Key Responsibilities
- Maintain scheduling and task memos for estate and garden staff across multiple locations
- Complete diary look-aheads and ensure accurate coordination of appointments
- Support with rotas, leave tracking, overtime records, and appraisal scheduling
- Conduct regular property checks and ensure presentation standards are upheld
- Manage inventories, order supplies, and process staff timesheets
- Coordinate appointments and transportation as needed, including pet-related bookings
- Attend weekly team meetings covering diary planning, estate operations, and HR updates
- Collate information for reports and assist with general admin tasks
- Provide cover across the wider support team, including order processing and reception
Skills and Experience Required
- Previous experience in administration, operations, or facilities coordination
- Excellent organisational skills and the ability to manage multiple priorities
- Confident communicator with strong written and verbal skills
- Comfortable working independently and handling confidential matters
- High level of attention to detail and process accuracy
- Proficiency in Microsoft Office and internal systems
- Full UK driving licence and access to a vehicle (essential)
- A genuine comfort and affinity with animals is required
