How to Lead a Productive Office Meeting

Often people think that some office meetings are a waste of time and that there are meetings for meetings sake. So, to structure your meeting to make it as productive as possible look at these tips.

Purpose

First, start by thinking of the purpose of the meeting and why it is required. It may be to introduce something or to get together to discuss an issue or announcement. Whatever it may be you must look at the purpose and really structure your meeting to highlight this. After you have thought this through think about timing. How long it will take you to speak about each thing on the agenda. Realistically think about the time it will take for the discussion in hand and how much time for discussion amongst the conversation topics.

Agenda

Set an agenda and objectives for the meeting and stick to a schedule. By having a plan, you will find that you can completely transform your meetings and keep them timely and effective. Although you may aim to keep it structured you will often find that you need to make time for discussion. You should allow time for conversation and debate as well as discussion at the end of your meeting. Don’t allow interruptions during the time of presentation of thoughts but set specific times at the end for discussion.

Preparation

Ensure you are set up properly and there are no distractions as these could cause issues during the meeting. For example, wasting time trying to rectify faulty equipment or Wi-Fi issues may lead to people getting bored and fed up of your meeting.

Organisation

Overall the key to a productive meeting is good organisation and an agenda for your meeting is the best way to make it the most productive it can be. Organising properly will ensure you are giving yourself the best possible chance of productivity!
